Job Title: Business Support Coordinator

Location: Mississauga, ON (Hybrid)

About the role

The Business Support Coordinator will play a key role in supporting the Supply Chain and Finance & Accounting departments at AWAKE Chocolate. The role requires strong administrative skills, effective communication, proactive thinking, planning, and prioritizing. This position reports to both the Supply Chain Manager and the Finance Manager. The candidate will be expected to perform full cycle order management in a timely and accurate manner, and will be expected to carry out routine clerical accounting duties adhering to established standards.

What you’ll do

Order Management

  • Facilitate customer order management process from order entry through shipment and delivery
  • Ensure that customer orders are compliant with agreed-upon pricing, quantity and terms and conditions
  • Coordinate outbound shipments with 3PL warehouses and appropriate carriers to ensure timely delivery of all B2B orders
  • Daily tracking, maintenance and troubleshooting of issues identified. Examples include disruption in order integration and information flow, order discrepancies, omissions and duplications, invoicing errors, and refused or returned shipments
  • Create weekly open order reports to closely monitor upcoming shipments and determine expected sales volume
  • Coordinate with Supply Chain team regarding any inventory shortages, ETAs, and communication with customers
  • Create and maintain inbound shipping documents for weekly cross border shipments to the USA (create customs invoices, BOLs, and warehouse ASNs)
  • Assist sales team in the coordination of outbound sample shipments

Clerical Accounting Duties

  • Serve as a resource for accounts receivable and accounts payable departments
  • Verify and record details about business transactions, such as accrued and prepaid vendor expenses, employee expenses capture, and customer deductions
  • Daily entry and tracking of financial transaction data into accounting software
  • Transmit customer invoices via email and process EDI invoices in applicable systems
  • Daily oversight and maintenance of accounts receivable and accounts payable email accounts, including corresponding with customers and vendors promptly
  • Participate in month-end close activities, including preparation of reclass entries, sales tax computations, and reconciliation of accounts
  • Assist and support finance manager with year-end audit requests

 About you

  • You have experience in full cycle order management
  • You have basic to intermediate accounting or bookkeeping experience
  • You have intermediate to advanced level in MS Excel and other database management tools.
  • You have experience in transmitting data via EDI systems
  • You are familiar with inventory management and accounting software
  • You are a fast learner
  • You demonstrate due diligence and accuracy with your work
  • You have outstanding organizational skills
  • You are a good problem solver and exceptional communicator
  • You are reliable
  • You hold yourself accountable and never lose track of follow ups or commitments
